This Privacy Policy describes how TruckSettle ("TruckSettle", "we", "us", or "our") collects, uses, stores, and discloses information when you use the TruckSettle mobile application and related services (collectively, the "Service"). TruckSettle is a weekly settlement and trip-log tool used by trucking owner-operators, drivers, and small fleet operators to record trips, calculate driver pay, and generate settlement PDFs.
1. Information We Collect
1.1 Account Information
- Name, email address, and password (passwords are hashed; we never store plaintext passwords).
- Optional profile details such as company name, role, and preferred language.
1.2 Operational Data You Enter
- Driver profiles you create (driver name, truck/trailer number, license info, compensation settings).
- Trip logs (date, miles, rates, gross load amounts, partials, expenses, deductions).
- Weekly settlement data (pay totals, deposits, advances, statuses).
1.3 Delivery & Contact Settings
- Recipient names, email addresses, and phone numbers that you enter into the Report Delivery Settings to receive settlement PDFs.
- Your explicit SMS/MMS consent record (timestamp, consent text shown, recipient phone numbers) when you enable SMS report delivery. See the SMS Opt-In Proof page for the exact consent flow.
1.4 Device & Usage Information
- Device type, operating system, app version, language and timezone, and crash diagnostics required to operate the app.
- Authentication tokens and (optionally) biometric unlock state stored locally on your device using the operating system's secure storage.
1.5 Information We Do Not Collect
- We do not collect or sell your contact list.
- We do not use behavioral advertising trackers.
- We do not collect biometric templates — biometric unlock is handled entirely by your device's OS.
2. How We Use Your Information
- To provide, maintain, and improve the Service (login, sync, calculations, settlement generation).
- To generate and deliver settlement PDF reports by email and, where you have given explicit consent, by SMS/MMS.
- To respond to your support inquiries and to send transactional service notifications you have requested.
- To enforce our Terms of Service and to comply with legal obligations.
3. SMS / MMS Messaging
Message frequency varies and typically depends on how often you generate or close settlements (typically 1–4 messages per week per recipient). Message and data rates may apply, depending on the recipient’s mobile plan. Recipients can reply HELP for help or STOP to opt out at any time. TruckSettle sends only operational settlement-report messages — no marketing messages are ever sent.

4. How We Share Information
We share information only with the following categories of third parties, and only as needed to run the Service:
- Communication providers (e.g., our SMS/MMS gateway and SMTP email provider) to deliver the settlement reports you request.
- Cloud infrastructure providers hosting our application and database under contractual data-protection terms.
- Authorities, if compelled by valid legal process or to protect the safety of users or the public.
We do not sell your personal information, and we do not share phone numbers, opt-in records, or messaging consent data with any third party for their own marketing.
5. Data Retention
We retain account, trip, and settlement data for as long as your account remains active and for a reasonable period afterwards to comply with tax, accounting, and legal obligations. You may request deletion of your account and associated data by contacting us at the address below.
6. Security
We use industry-standard safeguards including TLS encryption in transit, encrypted password hashing, JWT-based authentication, strict per-user data isolation on the backend, and rate-limiting on authentication endpoints. No system is perfectly secure, but we work continuously to protect your data.
7. Children
TruckSettle is a business tool for adult drivers and operators. We do not knowingly collect information from children under 13 (or 16 in the EEA/UK).
8. Your Rights
Depending on your jurisdiction, you may have the right to access, correct, export, or delete the personal information we hold about you, and to withdraw consent at any time. To exercise these rights, contact us at the address below.
9. Changes to this Policy
If we make material changes to this Policy we will update the "Last Updated" date above and, where appropriate, notify you within the app.
